The AMIA Board of Directors is responsible for oversight for all official AMIA conferences to:

  • Assure meetings are compatible with the content and strategic foci of the association including vision, mission, and values
  • Ensure that the meetings are conducted in a fiscally responsible manner consistent with approved annual budget for each activity
  • Approve recommendations to changes in policies, procedures, or the structure or scope of AMIA major conferences including the Informatics Summit, Clinical Informatics Conference, and Annual Symposium

Conference Site Selection Process

The AMIA follows a conference site selection process approved by the Board of Directors on May 22, 2023, that includes the following steps:

  • AMIA staff develops a preliminary list of meeting locations for each AMIA major conference, issues an RFP, and collates all responses in a comparison table with venue terms and estimated costs for presentation to AMIA leadership.
  • The Board of Directors eliminates venue proposals that do not support conference needs or meet AMIA’s expectations, including the ability to accomplish programmatic goals within the meeting budget, the ability to attract attendance and participation, compatibility with guiding ethical principles (JAMIA, C.U. Lehmann et al, May 2022), and the ability to deliver a meeting experience that is safe and affordable for attendees.
  • The Board of Directors prioritizes the factors to guide negotiations for the final site selection.
  • AMIA staff negotiate with remaining candidate sites and select final site based on assigned priorities.
  • The conference site selection is reported to AMIA Board of Directors.
